Construction Project Coordinator 

MOR Construction is looking for an experienced and organized Construction Project Coordinator to join our team. The ideal candidate will have a strong background in project management and be able to manage multiple projects at once. The Construction Project Coordinator will be responsible for coordinating with internal and external partners to ensure that projects are completed on time and within budget. The successful candidate will also be responsible for tracking progress, providing regular updates, and ensuring that all project requirements are met.

Responsibilities:

  • Manage project timelines and milestones.
  • Develop and maintain project plans, estimate tracking and schedules.
  • Coordinate resources and activities to ensure successful completion of projects.
  • Communicate, monitor, and provide project status updates to management.
  • Identify and resolve issues that may arise during the project life cycle.
  • Ensure that projects are completed on time and within budget.
  • May be responsible for estimates, schedules, and material orders.
  • Collaborate with vendors and contractors to coordinate document management.
  • Align contract details with project day sheets.
  • Prepare and maintain a several week look-ahead schedule for all activities on the job site; maintain scheduling process and routinely update at-a-glance scheduling.
  • Prepare quality control labor and material sheets.
  • Create and maintain purchase orders.
  • Update project information and documentation. 
  • Take meeting minutes and maintain/follow up on action items from meetings.
    Invoice preparation and submission to customers timely via QuickBooks, Excel, and AIA documents.
  • Maintaining paper and electronic files.
  • Respond to customer, vendor, subcontractor inquiries. 
  • Interface with customer accounting staff to resolve invoice and contract budget discrepancies.
  • Interface with internal staff on timesheets and contract paperwork and processes.
  • Assist with overflow, special projects and day-to-day administrative tasks as needed or assigned.
  • Support company safety program (job site safety inspections, weekly safety meetings, etc.).
  • Maintain project photos of all phases and features of work.
  • Requires experience in accounts payable and accounts receivable.
  • Performs other related duties as assigned. 

KNOWLEDGE/SKILLS/ABILITIES:

  • Advanced knowledge of QuickBooks is required.
  • Experience with AIA documents, prevailing wage, billing, collections, estimates/proposals a huge plus!
  • Advanced clerical skills; typing, data entry, answering telephones, message taking, postal services, fax, filing etc
  • Basic knowledge of standard office equipment and its upkeep.
  • Knowledgeable of Construction Project Management processes and procedures 
  • Excellent time management skills and the ability to prioritize work.
  • Ability to set up and maintain project, document control or departmental filing systems & procedures. 
  • Professional oral and written communication skills.
  • Proactive, use individual initiative, follow assignments through to completion, attention to detail, quality control and deadlines.
  • Strong interpersonal skills and proven record as a team player required.
  • Ability to perform multiple tasks and adapt to changing and emergency priorities.
  • Good organizational skills.
  • High level of interpersonal skills to handle sensitive and confidential information.
  • Knowledgeable of Contracting and Procurement processes and procedures 
  • Bilingual helpful, but not required.
  • Must be able to pass a drug test and background check.
  • Reliable transportation is a must.
